Grok Bot for Gmail: customer reply drafts and appointment reminders that wait for you

Updated

Grok Bot works in Gmail and Google Calendar through connected apps. It can search and read mail, write drafts, apply labels, check your free time and create events. Mail it sends from its own address waits for your approval on a draft card. Below are three small-business setups that draft, and never send on their own.

Can Grok Bot work in Gmail?

Yes. Gmail and Google Calendar connect as separate apps. Per xAI's docs, Gmail can search, read, draft, send, reply, forward and label mail, and Calendar can search events, check free time, create events and respond to invitations. Grok Bot can also claim its own email address, and mail it sends from there waits for your approval.

What can the Gmail and Calendar connectors do?

xAI's docs describe a tiered model: the base Gmail connection is read-only, and drafts, labels and sending need further permission. Calendar starts read-only too, with event changes on top. The Grok Bot help center adds that an app can only do what your Google account can already do, and can't change sharing.

Does Grok Bot send email without asking?

Not by default. Grok Bot's help center says email from the Bot's own address waits as a draft every time, including in routines, and that instructions inside a received email never count as permission. The changelog adds a Disable drafts option that lets a Bot send directly, so keep drafts on for customer mail.

What does the owner still do?

You press Send, and you decide anything that commits the business. You also pick which single Gmail mailbox to connect, get a company Google account approved, and add video links yourself, since the Calendar app can't change Meet settings or add Zoom links. Text-message reminders stay with your booking tool.

How do you connect Gmail to Grok Bot?

Use Connect apps in the Grok Bot app, not a browser login. Add Gmail, finish the Google sign-in, then add Google Calendar the same way, since each has its own sign-in. Confirm both show under Installed. The grok.com connectors page in xAI's docs is for Grok, so add the apps in Grok Bot itself.

  1. Open Connect apps. In the Grok Bot app, choose Connect apps in the sidebar. On the phone, tap your avatar, then Connect apps.
  2. Add Gmail. Search for Gmail and add it, then finish the Google sign-in in your browser when asked to authorize.
  3. Add Google Calendar. Do the same for Google Calendar. It is a separate app with its own sign-in and permissions.
  4. Confirm both are installed. Check that Gmail and Google Calendar appear under Installed. If Google says an admin must review Grok, ask your Workspace admin to trust it.
  5. Optional: claim the Bot's own address. Open Connect apps, choose Email, type a name and choose Create address. You get one address, and it can't be renamed.
  6. Test one read-only request. Ask for your five most recent unread emails and tomorrow's events, and check them against Gmail and Calendar.

How do you get customer reply drafts each morning?

Give one Bot your answers to common questions and a routine that searches last day's customer mail, drafts replies and labels them. It leaves drafts and lists anything that needs your judgment, like refunds. Grok Bot's docs show routines that name a schedule and output and report a failure instead of guessing.

Customer reply drafts each morning

You need:

Setup to copy:

Every weekday at 9:00 AM, search my Gmail inbox for customer emails from the last day that I haven't answered. For each one, draft a reply in my voice using only my answers note, and label the thread Bot drafted. Leave every reply as a draft. Never send. If an email asks for a refund, an exception or anything my note doesn't cover, don't draft it; list it for me instead. If Gmail isn't reachable, tell me instead of guessing.

Why it works: Gmail drafts are made for review before sending, per xAI's connector docs, and Grok Bot's docs say approvals from a routine expire after about 10 minutes, so a routine should prepare drafts while you send from Gmail.

First run: Run it once in chat, read every draft, fix your answers note, then save it as a routine and use Test run.

How do you get appointment reminder drafts?

Keep appointments on one Google calendar with the client as an attendee. A daily routine reads tomorrow's events and drafts a Gmail reminder for each, with the time and location. You open the drafts and send them. The Bot doesn't change events, and reminders go by email, not text.

Appointment reminder drafts for tomorrow

You need:

Setup to copy:

Every weekday at 3:00 PM, read tomorrow's events on my Appointments calendar. For each event with a client email in the attendees, draft a short Gmail reminder with the time, the address from the event location, and my reschedule note. Leave them as drafts and show me the list. Don't send, and don't change or delete any event.

Why it works: The Calendar connector reads attendees and location, and the Gmail connector writes drafts. Nothing reaches a client until you open the drafts and send them.

First run: Book a test appointment with your own second address as the attendee and check the draft it produces.

How do you answer booking requests with open times?

Ask the Bot to read new booking emails, check your free time in Calendar and draft replies offering two open times. When a client picks one, you approve and it creates the event. For questions customers ask again and again, a chat agent on your website can answer before they email.

Booking request replies with open times

You need:

Setup to copy:

When I ask, find new booking requests in my Gmail from the last two days. For each, check my free time in Google Calendar within my bookable hours and draft a reply offering two open times. Show me each draft. Only after I approve a time, create the calendar event with the client as attendee. Don't send anything yourself.

Why it works: Free time lookups and event creation are documented Calendar actions, and the event is created only after your approval in chat. If you use video calls, add the link yourself, since the app can't add Zoom links.

First run: Try it on one request you'd normally answer by hand and compare its open times with your calendar.

What should you keep behind approval?

Every send, and every calendar change a client will see. Grok Bot's docs recommend automating preparation before execution and requiring approval for sending, publishing and similar actions. They also advise least privilege: start read-only and add access only as a job needs it. Approvals from a routine expire after about 10 minutes, so let routines draft.

Grok Bot for Gmail: FAQ

Can Grok Bot read and answer my Gmail?

It can search and read your mail and write reply drafts. Sending needs send permission and your approval. Connect Gmail from Connect apps in the Grok Bot app.

Is there a Grok Gmail connector?

Yes. xAI documents Gmail and Google Calendar connectors, each with its own Google sign-in. In Grok you add them on the connectors page; in Grok Bot you add them from Connect apps.

Will Grok Bot send emails without my approval?

Not by default. Email from the Bot's own address waits on a draft card every time, including in routines. A Disable drafts option exists, so keep drafts on for customer mail.

Can Grok Bot send appointment reminders by text?

This page covers email and calendar only, and we don't claim a texting app. Use your booking tool's own text reminders, and let Grok Bot draft the email ones.

Can I connect two Gmail accounts?

No. Gmail connects one mailbox at a time. To switch, disconnect the current mailbox and authorize the other.

Why does Google say an admin must review Grok?

A company Google Workspace hasn't approved the app yet. Your admin trusts the app named Grok in the Google Admin console. A personal Gmail account doesn't need this.

What is the Bot's own email address?

An address at mail.grokbot.com that your Bots can receive, search and send from. You get one, it can't be renamed, and names like support, help and info are reserved.
